How to Add and Access Notes, Attachments, and Service Forms in RazorSync

RazorSync allows you to add three types of supplemental information to your work orders and customer profiles: service forms (custom forms you create), attachments (photos, documents), and notes (text entries). This guide will help you understand where to add them and how to access them on both mobile and browser.

When to Add to Work Order vs. Customer Profile

Add to the Work Order if the information is specific to a single job:

  • Job completion photos
  • Notes about a specific service visit
  • Service forms for tasks completed during that work order

Add to the Customer Profile if the information should persist for the lifetime of the customer:

  • Photos of equipment serial numbers that will need to reference over time
  • Ongoing customer preferences or account notes
  • Service forms that document equipment details you'll reference across multiple visits

How to Access These Fields on the Mobile App

On a Work Order:

  1. Open the work order.
  2. Swipe the top menu bar from right to left to reveal additional tabs.
  3. Tap Service Forms, Attachments, or Notes to view or add information.
  4. To add an item, tap the plus icon (+) in the top right corner.

On a Customer Profile:

  1. Tap the Customers tab at the bottom left.
  2. Tap on the Customer Name to view that Customer's Profile
  3. Scroll down to find Notes and Attachments.
  4. For Service Forms, look at the top of the screen (separate location from notes/attachments).

How to Access These Fields on the Browser Version

On a Work Order:

  1. Open the work order.
  2. Click the Notes icon (paper and pencil) in the top right to view/add notes.
  3. Scroll down to the Service Forms section to view or add forms.

On a Customer Profile:

  2. Click the Attachments tab at the top to view/add attachments.
  3. Click the Service Forms tab (next to Attachments) to view/add forms.
  4. Click the Account tab, then scroll down past Addresses and Contacts to find the Customer Notes section. Click to expand and view notes.

⚠️ Important: Align Your Team on Storage Strategy
Before you start adding information, ensure your entire team agrees on where to store different types of data. The most common mistake is inconsistently adding information—sometimes to work orders, sometimes to customer profiles—which makes it difficult to find later. Decide as a team: What belongs on the customer profile for long-term reference? What belongs only on individual work orders? Document this decision and train all technicians on the same approach.
