How to Assign a Work Order to a Technician
If you need to assign an unassigned work order to one of your technicians, you can do this quickly through either the browser schedule or mobile app. This guide covers both methods.
Method 1: Assign via Schedule Page (Browser)
Method 2: Assign via Work Order Details (Browser)
Method 3: Assign via Mobile App
Steps to Resolve:
- Navigate to the Schedule page in your browser.
- Locate your Unassigned Work Orders in the top bar of the schedule. The row is titled Unassigned. If you have the schedule set to Color of Status, it will display the Unassigned Color.
- Click and drag the work order straight down to the technician's name you want to assign it to.
- Release your mouse to complete the assignment.
- Choose whether to send notifications to your technician or customer (if prompted).
💡 Pro Tip: You can assign the same work order to multiple technicians by dragging the work order from the left side column onto a second technician's row. This will create a second work order within that service request.
Method 2: Assign via Work Order Details (Browser)
Steps to Resolve:
- Double-click on the work order to open the work order details panel.
- Click the Edit button.
- Click the Field Worker dropdown and select the technician you want to assign.
- Click Save to complete the assignment.
Method 3: Assign via Mobile App
Steps to Resolve:
- Open the unassigned work order in the mobile app.
- Tap the pencil icon in the top right corner to edit.
- Change the status from Unassigned to Incomplete.
- Tap the Field Worker field and select your technician from the list.
- Tap the green checkmark to save and sync the assignment.
⚠️ Important Callout / Things to Avoid:
- Browser drag-and-drop: When dragging a work order on the schedule page, make sure to drag it straight down to the technician's name. If you drag it diagonally or horizontally, you will accidentally change the scheduled start time of the work order.
- Mobile app limitation: You cannot assign a work order that has a status of "Unassigned" on the mobile app. You must first change the status to "Incomplete" before the Field Worker field becomes available.
