How to Create and Manage Quotes on the RazorSync Mobile App
If you need to create price estimates for your customers, the Razor Sync mobile app offers two flexible ways to generate quotes. This guide will walk you through both methods and show you how to convert accepted quotes into scheduled work orders.
Method 1: Create a Quote Directly from a Customer Profile
Steps to Create:
- Tap the Customer Tab on the bottom left of the app.
- Tap on the customer you want to create a quote for.
- Scroll down and tap Quote History at the bottom of the customer profile.
- Tap the plus icon in the top right corner to create a new quote.
- Enter a title for the quote in the Summary field.
- Leave the Quote ID field blank and keep the status as Draft.
- Adjust the Send Quote To field if the customer has multiple contacts.
- Select the correct address if the customer has more than one location on file.
- Fill in the Start Date, End Date, Start Time, and End Time (these are required for conversion later).
- Set an Expiration Date for the quote if needed.
- Tap the green checkmark in the top right corner to save the quote.
Add Service Items & Send:
- Tap Service Items at the top of the quote.
- Tap the plus icon on the top right and select the items you want to add.
- Adjust the price and quantity as needed, and add details in the Description field.
- Tap Attachments to add any photos you want to include with the quote.
- Tap the RS button at the bottom middle of the screen, then tap Force Sync to generate a Quote ID.
- To email the quote to your customer, tap the envelope icon next to the "Send Quote To" field.
Method 2: Create a Quote from an Existing Work Order
Steps to Create:
- Navigate to the work order you want to quote.
- Tap on the work order to open the details.
- In the top menu bar, tap Quotes.
- Tap the plus icon in the top right corner.
- The app will automatically generate a quote and pull in all service items from the work order.
- Edit the quote if needed (title, description, pricing).
- Tap the RS button at the bottom middle, then tap Force Sync to save your changes.
- Tap the envelope icon next to the "Send Quote To" field to email the quote to your customer.
Converting an Accepted Quote to a Work Order
Steps to Convert:
- Open the quote and tap the pencil icon in the top right corner.
- Change the Status from Draft to Accepted.
- Tap the green checkmark to save.
- Tap Convert Quote at the bottom of the screen.
- Tap the RS button and Force Sync to generate a new Work Order ID.
⚠️ Important: Required Fields for Quote Conversion
Always fill in the Start Date, End Date, Start Time, and End Time when creating a quote, even if you're not sure of the exact schedule yet. If these fields are left blank, service items will NOT transfer over when you convert the quote to a work order. This is the most common reason for conversion errors.
📌 Pro Tip:
Every time you email a quote, the app automatically generates a PDF version and saves it to your attachments for historical reference. This is helpful if you send multiple versions of a quote and need to verify which one the customer accepted.
