How to Customize Your Schedule Page View
The schedule page offers multiple viewing options and customization features to help you efficiently manage your daily work orders, tasks, and team assignments. This guide will walk you through all available options to tailor the schedule view to your needs.
Steps to Switch Views:
- Look at the top right corner of the schedule page.
- Select Day, Week, or Month to change your viewing period.
⚠️ Important Callout:
Week and Month views will NOT display unassigned work orders. If you need to see unassigned jobs, always use the Day view.
Customization Toggle Options
Located on the top left of the schedule page (below the current date), you'll find four toggle options:
1. Show Color of Status
- When ON: Work orders display in the color of their status (e.g., brown for unassigned).
- When OFF: Work orders display in the color assigned to the worker (e.g., blue for a specific tech).
- Best Use: Turn this OFF in Month view to quickly see which tech is assigned to each job.
2. Show Nonworking Hours
- When ON: Displays the full 24-hour day.
- When OFF: Shows only your business hours (opening to closing time).
- Best Use: Turn ON if you schedule jobs outside normal business hours.
3. Synchronize Lists with Timeline
- When ON: The left column only shows work orders for the selected time period (day, week, or month).
- Best Use: Turn ON when viewing Week or Month to see only jobs scheduled for that specific period.
4. Unassigned Work Orders
- When ON: Displays the unassigned work order row at the top of the schedule.
- Best Use: Keep ON when creating new jobs so you can easily drag and assign them to technicians.
Navigation Controls
Located at the top center of the page:
- Click Today to jump to the current date.
- Use the left/right arrows to move forward or backward by one day.
- Click the calendar icon to select a specific date.
Three Green Buttons on Top Right(Advanced Options)
Located on the top right, below the Day/Week/Month selector:
1. List View (Three Lines Icon)
- Displays work orders as a list below the calendar.
- Click the Export List button (square with arrow) to download a printable spreadsheet for the selected day, week, or month.
2. Display Customization (Middle Button)
- Customize what information appears on each work order card (e.g., customer name on line 1, address on line 2).
3. Export Calendar Data (Third Button)
- Exports all scheduled jobs as an ICS calendar file.
- Import the file into Google Calendar, Outlook, or other calendar applications as a backup.
Left Side Column: Tabs & Filters
The left column contains four tabs:
Service Requests (Default Tab)
- Filter by Status: Check or uncheck the boxes for Unassigned, Assigned, Completed, or Invoiced to show/hide specific job types.
- Search Bar: Search by name or address.
- Advanced Search: Click the green funnel icon, select Add Filter, choose a filter type from the dropdown, enter the value, and click the green magnifying glass.
Quotes
- View and click on recent quotes.
- Filter quotes by status using checkboxes.
Tasks
- Non-invoiceable jobs (e.g., picking up parts, lunch breaks).
- Cannot add service items, but can attach service forms.
Locations
- Used to schedule tasks (tasks must be assigned to a location).
- To Schedule a Task: Drag a location from this tab onto the schedule at the desired time and tech, then release.
⚠️ Things to Avoid:
- Do not use Week or Month view if you need to see unassigned work orders—they will not appear. Always switch to Day view for unassigned jobs.
- Do not forget to turn on "Synchronize Lists with Timeline" if you want the left column to only show jobs for your selected time period; otherwise, you'll see all jobs regardless of the view.
- Tasks cannot have service items added—they are for non-billable activities only. If you need to invoice, create a service request instead.
Pro Tip: Export your daily, weekly, or monthly schedule as a spreadsheet or ICS file to keep a backup or share with your team for offline reference.
