How to Track and Apply Customer Credits in RazorSync
RazorSync does not currently have a dedicated credit tracking feature. However, there are several effective workarounds you can use to manage and apply customer credits.
Option 1: Use QuickBooks Credit Memos (If You Sync with QuickBooks)
- Create a credit memo in QuickBooks for the customer.
- Use QuickBooks as your source of truth for tracking the credit balance and make Razorsync match that amount.
- Add a note in the RazorSync customer profile indicating that the customer has a credit. That way everyone in the office is aware of the credit.
- When ready to apply the credit, add a line item to the invoice in RazorSync called "Credit" and enter the amount as a negative value to offset the invoice total.
Option 2: Use the Deposits Feature in RazorSync
- Navigate to the customer profile and click the Deposits tab at the top.
- Add a deposit for the credit amount.
- When you're ready to apply the credit, apply this deposit directly to the next invoice for that customer.
Option 3: Create a "Credits" Service Item
- Create a service item in RazorSync called "Credits" (or similar).
- When issuing an invoice, add this service item as a line item with a negative amount to reduce the invoice total. Enter in the reason for credit in the service item description.
⚠️ Important: Always Document Credits in Customer Notes
Regardless of which method you use, always add a note to the customer account explaining the credit amount, reason, and date. This ensures that all team members are aware of the customer's credit balance and can reference the financial history when creating future invoices. Without proper notation, credits may be forgotten or misapplied.
