Master Your RazorSync Service Items
Think of Service Items as your digital price book — a clean, organized catalog of every service you offer, with pricing, descriptions, and tax settings all locked in and ready to go. Set it up once, and watch it save you time on every single invoice, quote, and work order from that point forward.
Getting to your Service Items is simple: just navigate to Settings > Service Items. From there, you're in control of your entire service catalog. Here's what you can do:
- Name Your Items Clearly
Your Item Name is what shows up on every invoice and quote your customer sees — so make it professional and descriptive. (Think "HVAC Tune-Up – 1 Unit" rather than just "Tune-Up.") Keep in mind, once an item is on an invoice or work order, the name is locked in to keep your records consistent. - Write a Helpful Description
The Description field is your chance to add context to each service. The best part? When you're adding an item to an invoice, quote, or work order, you can edit the description on the fly — perfect for adding job-specific notes without losing your standard template. - Set Up Smart Pricing Tiers and Reward Your Best Customers
This is where things get really powerful. RazorSync lets you create three pricing tiers for every service item. For example, Tier 1 can be your standard pricing, whereas Tier 2 or Tier 3 could be used for discounted pricing for Friends & Family, or perhaps customers with Service Agreements and reduced pricing. The Tier is set directly within the Customer profile — so the right price automatically applies every time, no mental math required. - Mark Items as Taxable (or Not)
Don't let tax errors slow down your cash flow. Simply toggle the Taxable setting on or off for each item so your invoices are always accurate and compliant. - Set a Default Item for Every Work Order
Got a service you perform on nearly every job — like a standard diagnostic fee or a trip charge? Check the Default box, and that item will automatically appear on every new work order you create. One less thing to remember when you're slammed. - Deactivate Items You No Longer Offer
Seasonal service you're putting on pause? Use the Deactivate option to hide it from your active list without losing any history. All past invoices, quotes, and reports that used that item remain fully intact — your records stay clean. - Delete Items You'll Never Need Again
Use the Delete checkbox to remove items from your catalog. You can even select all items on a page at once for a quick bulk cleanup. ⚠️ Heads up: If an item has ever been used on a past invoice or work order, you won't be able to delete it — just deactivate it instead to keep your historical data safe.
🗂️ Organize with Categories — Find What You Need, Fast
As your service catalog grows, keeping things organized becomes critical. Categories are used to separate your items into groups. To add a new Category, click the [+] symbol. Once a Category is added to the list, you can select individual Service Items and assign them to a new or existing Category.
For example, an HVAC company might create categories like Maintenance, Repairs, Installations, and Parts — making it lightning-fast to find the right item when you're building a quote on the spot with a customer on the phone.
Note: RazorSync Service Item Categories are not tied to QuickBooks Service Item Categories, so you have the freedom to organize them in whatever way makes the most sense for your business.
➕ Adding, Importing & Exporting Service Items
Adding Items Manually:
Click the [+] icon to manually create a new Service Item. Newly created items will also export to QuickBooks when used on an Invoice/Quote that is exported, or by exporting Service Items to QB. Your books stay in sync without any double entry.
Importing Items (Work Smarter, Not Harder):
Already have a service list built out somewhere else? Don't start from scratch. To import Service Items, click the Import button, which will redirect to the main Import page. You may import from QuickBooks (Online or Desktop). Be sure to select the Import Inventory Items button if you'd like to bring Inventory Items into RazorSync from QuickBooks as well. You may also import an Excel file by selecting the Other File option.
***Importing service items from QBO or QBD will update or overwrite the items price and description that already exist in Razorsync. So use caution!
Exporting Items (Make Bulk Edits in Minutes):
Need to update pricing across dozens of items at once? No problem. Service Items can be exported directly as an Excel file. Using the Excel export allows you to make multiple changes to your item list, save the file and import it back into RazorSync to apply those changes. It's the fastest way to do a seasonal price update or add a whole new line of services.
Just remember to keep the service item name the same or else it will create a duplicate item name.
