Turn on and customize different Notifications and Reminders

Settings > Messaging

You'll notice when you hover your mouse over some of these a Templates button shows up.  Clicking on this will allow you to edit the message that is sent.

Notifications

Notifications are separated into Admin, User and Customer. Below are their explanations.

Admin

Admin notification when first Admin user is created

  • Sends an email to company email when first administrator is created

Admin notification when Invoices are created

  • Sends an email to each administrator right as an invoice is created w/ invoice number

Admin notification when status of Work Order is changed

  • Sends a notification to each administrator when the status of a Work Order is changed, including the Work Order number and the newly updated status

Admin notification when Field worker of Work Order is changed

  • Sends a notification to each administrator when the Field Worker assigned to a specific Work Order is changed from Unassigned to a Field Worker or from one Field Worker to another. This includes the Work Order number and the new Field Worker assigned to that Work Order

Admin notification when a Service Request is created

  • Sends a notification to each administrator when a new Service Request is created. This includes the Service Request number

Admin notification when a Service Request is created by customer

  • Sends a notification to each administrator when a Service Request is created by a Customer using the Customer Portal.

Admin notification when an invoice is paid

  • Sends a notification to each administrator when an invoice has been fully paid off. This includes the invoice number of the invoice that was fully paid off

Admin notification when Address is created in offline mode

  • Sends a notification to each administrator when a mobile device on their portal regains signal/Wi-Fi once again. Additionally, while that device was not connected to the web a new address was created for a Customer on that device

 

User

User notification when a new account is created

  • Notifies all users when a new customer is created in the system

User notification when User name is changed

  • Notifies all users when a users username is changed

User notification when Role is changed

  • Notifies all users when a user or administrator's role is changed to another role (admin to user, user to admin, admin to support etc.)

User notification when a Work Order is updated

  • Notifies all users when a Work Order is changed. The Work Order can be changed by having different start/end date/time, a new Field Worker assigned to it, or by having the status updated. This includes the new date/time, SR summary, and the Customer Information

User notification when a Work Order is created

  • Notifies all users when a new Work Order is created. This includes the creation date & time as well as the Service Request summary and Service Request information

User notification when a Work Order (assigned to current user) is reassigned to another User

  • Notifies a User when one of their Work Orders is reassigned to a different user. This includes the new Service request date/time and Service request summary

User notification when a Work Order is deleted

  • Notifies a user when a Work Order is deleted. This includes the Deleted Work Order's date/time and Service Request summary

 

Customer

Customer notification when a Service Request is created

  • Sends the customer a notification at the time a service request is created for that Customer. This notification includes a timestamp of when their Service Request was created as well as the Service Request ID and Service Address. NOTE: By default the notification is set to tell the customer that they will receive updates when a technician is En route, which may or may not be true depending on the notification below.

Customer notification when a Field worker is En Route

  • Notifies the Customer when a technician changes the status of a Work Order to En Route. This notification includes the Service Address. Also lets the Customer know to contact the company if they cannot keep the appointment.

Customer notification when a Field worker has arrived (on-site)

  • Notifies the Customer when a technician changes the status of a Work Order to Onsite. This notification includes the Service Address. Also lets the Customer know that they will be notified again when the Work Order is marked as Completed

Customer notification when a Work Order is changed (e.g. updated) for Service Request

  • Notifies a Customer when a Work Order's date and/or time assigned to it is changed. It includes the new date and time associated with that work order as well as the Service Address. It also includes a note that the Customer will be updated on the status of their Work Order on the day the Work Order is scheduled.

Customer notification when a Work Order is deleted

  • Notifies the Customer when a Work Order is Deleted. This includes the Work Order ID and the Service Address associated with that Work Order.

Customer notification when a Work Order is invoiced

  • Notifies the Customer when a Work Order has been Invoiced. This includes a PDF copy of the invoice as an attachment. It can also include the personal URL which allows the customer to click on it, view their invoice, and make an online payment if the Customer is signed up with Merchant Services. NOTE: changing the status to Invoiced will not trigger this notification, but clicking on the "Invoice" button on a Work Order will.
  • This notification will not appear when Mobile Invoicing is disabled. If you're trying to change your outbound Notification template, you will need to enable Mobile Invoicing temporarily.
  • This notification does not apply to "Standalone" Invoices created inside the Invoice History section of the Customer profile.

Customer notification when an invoice is paid

  • Notifies the customer a payment is applied to an invoice. This notification includes the Invoice ID that the payment is being applied to.

Customer notification when a Work Order is quoted

  • Notifies the customer when a Work Order has been converted to a Quote. Also attaches a PDF copy of the Quote to the email.
  • This notification does not apply to "Standalone" Quotes created inside the Quote History section of the Customer profile.

Reminders are separated into Service Request and Work Order.  Each Reminder explains when they are sent.
