Get Paid on the Spot: Activating the "Pay Now" Link on Your RazorSync Invoices
Is Your "Pay Now" Link Missing? Here's How to Fix It. If your customers aren't seeing the "Pay Now" button on their invoices, don't panic — it's almost always a quick settings tweak. Walk through these three checkpoints and you'll be back to collecting payments in no time.
✅ Checkpoint 1: Make Sure Your Invoice Is Set to "Visible"
Think of this as flipping the "open" sign on your payment portal. If your invoice isn't visible to the customer portal, the "Pay Now" link simply won't appear.
Here's how to check and fix it:
- Open the invoice in RazorSync and look for the Customer Portal setting.
- You'll see one of two icons:
- 👁️ Open Eyeball = Invoice is visible. You're good to go!
- 🚫 Closed Eyeball = Invoice is hidden. The "Pay Now" link won't show.
- If it's hidden, click Edit, change the Customer Portal setting to Visible, and click Save.
- Re-send the invoice to your customer — the "Pay Now" button will now appear.
Want to skip this step forever? Set a global default so every new invoice is automatically visible:
- Go to Settings → Invoice & Quote
- Set the default visibility to Visible
- From that point forward, every new invoice you create will be payment-ready right out of the gate!
✅ Checkpoint 2: Verify Your Global Customer Portal Rights
This is a master switch in your settings that controls whether payment links are included in your customer emails at all. If this is turned off, no invoice will show a "Pay Now" link — no matter what.
Here's how to check and enable it:
- Go to Settings in RazorSync.
- Click on Workflow in the left-hand menu.
- Scroll all the way to the bottom of the Workflow column.
- Find the section called Global Customer Portal Rights.
- Make sure the option "Include Email Link for Quotes, Invoices, and Credit Card Payments" is checked.
- If it wasn't checked, enable it and click Save.
That's it! This one setting unlocks the payment link across all your customer communications.
✅ Checkpoint 3: Check Your Advanced Messaging Template (If Applicable)
Do you use RazorSync's Advanced Messaging feature to customize your invoice emails? If so, this one's for you. When you customize the "Work Order Is Invoiced" message template, there's a special placeholder variable that generates the "Pay Now" link. If it was accidentally deleted, the link simply won't appear.
Here's how to check and restore it:
- Navigate to your "Work Order Is Invoiced" message template in Advanced Messaging.
- Look for the
[personal.url]variable in the message body — this is what generates the "Pay Now" link. - If it's missing, don't worry — you can easily add it back:
- Click Insert Variable on the right side of the template editor.
- Find Personal URL in the list.
- Click and drag it into the desired spot in your message.
- Click Save.
Your invoice emails will now include the "Pay Now" link
